Privacy policy

What we collect when you use this website, contact us or request prototype access, and what we do with it.

Who this covers

This policy explains how Dialogica Solutions, LLC (“Dialogica,” “we,” “us”) handles personal information collected through dialogicasolutions.com, our contact and booking forms, and our prototype gallery (together, the “site”).

It does not cover data we process for clients during an engagement. That data is governed by the written agreement with each client.

What we collect

We collect two kinds of information.

  • Information you give us. Your name, work email, company, role, phone number, industry, company size, the systems you use, and anything you write in a message, booking request or prototype access request. If you share a sample document with us, we receive that too.
  • Information collected automatically. Our hosting provider and the tools we use record standard technical data such as IP address, browser type, pages visited and the time of each visit. When you use a prototype, we may log sign-ins and activity for security and to understand which features people use.

Please don't send us confidential, regulated or personal data about other people in a form or sample document. Redact it first, or ask us for a secure way to share it.

How our forms work

The contact, discovery call and prototype access forms don't store your answers on our website. When you submit one, the site sends your answers by email to contact@dialogicasolutions.com through Twilio SendGrid, our email delivery provider, which processes them on our behalf in the United States. We receive it as an ordinary email. We turn off SendGrid's open and click tracking for these messages.

How we use it

  • To answer your questions and follow up on your request.
  • To schedule and prepare for calls you book with us.
  • To issue, manage and revoke prototype access.
  • To keep the site and our prototypes secure and to prevent misuse.
  • To understand how the site is used and improve it.
  • To send occasional business updates. You can opt out at any time.
  • To meet legal obligations and protect our rights.

How we use AI tools

We use enterprise AI tools, including Anthropic's Claude, to help us organize correspondence, prepare for calls, take meeting notes and review documents you choose to share. We use business plans whose commercial terms do not allow the provider to train its models on our data. We record or transcribe calls only with the consent of the people on the call. We don't use AI to make automated decisions about you that have legal or similarly significant effects.

Who we share it with

We do not sell your personal information, and we do not share it for targeted advertising.

We share information only with the following:

  • Service providers. Companies that help us run the business, such as hosting (Netlify), form email delivery (Twilio SendGrid), email, scheduling, CRM and AI providers. We require them to use it only to provide their services to us.
  • Professional advisors. Our lawyers, accountants and similar advisors, who owe us a duty of confidentiality.
  • Authorities. When the law requires it or when we need to protect our rights, our clients or the public.
  • A successor business. If Dialogica is involved in a merger, acquisition or sale of assets. The successor must honor this policy or tell you before handling your information differently.

Cookies and analytics

The site may use cookies and similar technologies that are needed for it to work, and basic analytics to see which pages are useful. We do not use advertising cookies. You can block or delete cookies in your browser settings. Some parts of the site, such as prototype sign-in, may not work without them.

The site doesn't respond to Do Not Track signals. Because we don't sell personal information or share it for targeted advertising, there is nothing for a Global Privacy Control signal to opt you out of.

How long we keep it

We keep personal information only as long as we need it for the purposes above, for an ongoing business relationship, or to meet legal and accounting requirements. After that, we delete it or remove anything that identifies you.

How we protect it

We use reasonable administrative, technical and physical safeguards, including access controls and encrypted connections. No system is perfectly secure, so we can't guarantee absolute security. If a breach affects your information, we will notify you as the law requires.

Your choices

You can ask us to tell you what personal information we hold about you, correct it, or delete it. You can also opt out of business emails at any time. Email contact@dialogicasolutions.com and we'll respond within a reasonable time. We may need to confirm your identity first.

Some U.S. states give residents additional privacy rights. We honor the requests above no matter where you live, subject to the exceptions the law allows, such as records we must keep.

Children and international visitors

The site is meant for business use. It is not directed to children, and we do not knowingly collect personal information from anyone under 16.

Dialogica is based in the United States. If you visit from another country, your information will be processed in the United States.

Changes to this policy

We may update this policy from time to time. The date at the top of the page shows when it last changed. If we make a significant change, we'll make it clear on the site.
