Manufacturing / Compliance Documentation

Declarations of Conformity built from product data, not last year's template

We build tools that assemble DoCs and technical file sections from your PIM and ERP, then route them to a named approver before release.

Compliance paperwork scales with your catalog. Your compliance team doesn't.

Every product placed on the EU market needs a Declaration of Conformity that identifies the exact model, cites the applicable directives, regulations and harmonised standards, and exists in each market's required languages. The technical documentation behind it must stay available to authorities for years. In most mid-market shops, that runs on Word templates and one or two people who know which standards apply where.

  • DoCs copied from an older variant carry the wrong model number or a superseded standard
  • Distributors request DoCs by serial number, and finding the right one means searching shared drives
  • When a standard is revised, nobody can say quickly which documents are affected

What we build

  • DoC generator

Produces a DoC for a specific model, configuration or serial, pulling product identity, applicable legislation, standards and signatory from your source systems.

  • Technical file assistant

Cross-checks the product description, risk assessment, list of standards applied and test report index, and flags what's missing or out of date.

  • Multilingual output

Translates declaration content with a controlled glossary so legal phrasing stays consistent. A person reviews each language before release.

  • Change impact check

When a standard, directive or component changes, lists every product and document that references it.

How it works

  1. Step 1: Map the rules and the data

We document which legislation and standards apply to which product families, where product data lives, and who is authorised to sign.

  2. Step 2: Connect the sources

We connect read-only to your PIM, ERP and document store with least-privilege access. The tool reads what it needs and nothing else.

  3. Step 3: Generate, check, approve

The tool drafts the document and checks it against the rules, catching a missing standard or a model number that doesn't match the serial. A named approver releases it.

  4. Step 4: Record and retrieve

Every issued document is logged with version, product, serial, approver and timestamp, and can be pulled by QR code or serial.

Systems we connect

  • PIM systems (Salsify-class)
  • NetSuite and QuickBooks
  • Other manufacturing ERPs, scoped during Discovery
  • SharePoint, Microsoft 365 and Google Workspace document libraries
  • QR code and serial lookup on the shop floor or in the field

Reference: an automated EU Declaration of Conformity generator

For an industrial manufacturer, we built a progressive web app that generates EU DoCs from a QR scan or serial number, using Salsify-class PIM data, with multilingual output and an audit layer.

Each declaration is assembled from the current PIM record when it's requested, instead of being copied and edited from an older variant.

Questions compliance managers ask

Does the AI decide which legislation applies to our products?

No. Your team defines that mapping and the tool applies it. The conformity decision and the signature stay with your authorised person.

What happens when a harmonised standard is revised?

The tool tracks which products and documents cite each standard. When one changes, you get a list of what to review and reissue.

Stop rebuilding DoCs by hand

We'll look at your product families, templates and source data, and tell you plainly what can be automated and what should stay manual.
